This notice explains what we do with your personal data, whether we are helping you find an opportunity, continuing our relationship with you once we have found you one, providing you with a service, receiving a service from you, or you are visiting our website. Anyone who visits the McDonald Homecare website. Our website contains links to other sites, and we are not responsible for their privacy practices, so we encourage you to read the privacy notice of any website that collects your personal information.

Candidates

Applicants for any placement advertised or promoted by McDonald Homecare, including permanent, part-time, temporary and freelance roles, and people who have sent us a speculative CV. This includes anyone who contacts us through a third party such as a job board.

Clients

Our customers, clients and others to whom we provide services in the course of our business, including family members who contact us on behalf of someone needing care.

Suppliers

Partners and companies, such as independent contractors and freelance workers, who provide services to McDonald Homecare. Where suppliers are individual contractors, freelance workers or employees of suppliers, we treat them as candidates for data protection purposes, and we ask suppliers to share the relevant parts of this notice with their employees.

Referees and emergency contacts

People whose details are given to us by candidates or staff as referees or emergency contacts. We will only contact them in appropriate circumstances.

What personal data we collect

Candidates

To offer opportunities that suit you, we only ask for details that genuinely help us to help you, such as:

• your name and contact details, including telephone numbers, email address and postal address
• your CV and work history
• your work preferences, including role, geographical area and pay
• information about your professional history, education, skills, experience, licences, affiliations and qualifications, whether publicly available or provided by you
• your right to work and immigration status, and emergency contacts

Where appropriate and in line with the law, we may also collect identification (such as a passport or driving licence), date of birth, National Insurance number, the outcome of criminal record checks, medical information, references, financial information needed to pay you, diversity information, and a record of our communications with you.

Clients

We collect and use the information we need to provide our services to you, such as your contact details and information about the care and support you or your family member need, so that we can find care companions who are the right fit.

Suppliers

We need contact details for the relevant people at your organisation so that we can communicate with you, and other information such as bank details so that we can pay for the services you provide.

Referees and emergency contacts

We only ask for basic contact details, so that we can contact you for a reference or because you have been named as an emergency contact.

Website users

If you send us an enquiry through our website, we collect the details you give us, such as your name, phone number and the best time to call. We also collect a limited amount of information about how our website is used, as described in the cookies section below.

Website users: through the forms on our website, and through cookies and similar technologies as described below.

How we use your personal data

Candidates: mainly to help you find work that suits you. Where appropriate, we may also use your data for diversity monitoring, to confirm your right to work, to make reasonable adjustments, to put contractual arrangements in place once a role is secured, and to pay you. Where needed, we will ask for your consent.

Clients: to provide our services and make sure our arrangements with you run smoothly, including identifying care companions who we think will be the right fit for you.

Suppliers: to make sure our arrangements with you run smoothly and to meet our legal obligations.

Referees and emergency contacts: to obtain references for candidates, and to contact you in an accident or emergency affecting a candidate.

Website users: to respond to your enquiry, and to understand how our website is used so that we can improve it.

Who we share your personal data with

Candidates: mainly with prospective clients, to help you secure the opportunity you want, and with service providers who help us deliver our services.

Clients: mainly with candidates, so that we can introduce suitable care companions to you.

Suppliers, referees and emergency contacts: unless you tell us otherwise, with service providers who help us deliver our services and with organisations to whom we provide services.

Website users: with the companies that host our website and receive our website enquiries on our behalf, and with Google for website analytics. If you accept advertising cookies, Google will also receive information that tells us which of our adverts led to an enquiry.

We do not sell your personal data. Some of our service providers may process data outside the UK; where they do, we rely on appropriate safeguards required by UK data protection law.

How we keep your personal data safe

We are committed to keeping your information secure. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard the information we collect.

How long we keep your personal data

We keep your data (or, where appropriate, data about the organisation you work for or with) for as long as we are providing a service to you. If you ask us to, we will remove your personally identifiable information from our systems within one month, unless the law or a regulator requires us to keep it.

Your rights

Even if we already hold your personal data, you have rights in relation to it. To use any of them, please contact us using the details below. We will respond without undue delay and within one month, although the law allows us to extend this in some cases. We may keep a record of our communications to help resolve any issues you raise.

In certain situations, you can ask us to erase your personal data. If we agree, we will generally keep a note of your name on our register of people who prefer not to be contacted, so that we do not contact you again by mistake. If you would prefer us not to do this, just tell us.

Right to data portability

You can ask us to transfer your data to another organisation, either directly or by giving you a copy in a commonly used, machine-readable format.

Cookies

Cookies are small files stored on your device when you visit a website. We use two kinds.

We use Google Analytics to understand how our website is used, such as which pages are visited and which buttons are used, so that we can improve it. These cookies are used only for that purpose. They are not used for advertising, and we have switched off Google’s advertising features for our analytics. They are set when you visit the site, and you can switch them off at any time.

Advertising

With your permission, we use Google Ads cookies to see which of our adverts lead to an enquiry. These are only set if you choose “Accept” when we ask.
